Terms of Service
Last updated: May 2026
Welcome to PermitWatchdog. These terms ("Terms") govern your use of the PermitWatchdog application and any related services (together, the "Service"). By creating an account or using the Service, you agree to these Terms. If you don't agree, don't use the Service.
1. The Service
PermitWatchdog helps small businesses track government permit renewals across Texas jurisdictions. We do this by maintaining a catalog of permit types, jurisdictions, fees, renewal cycles, and approval timelines that we believe to be accurate as of the dates shown on each catalog entry, and by sending reminder emails before known expiry dates. We pre-fill application forms where templates are available.
The Service is informational. Our catalog data may contain errors, may be out of date, or may not apply to your specific situation. You are solely responsible for confirming with the issuing agency that you hold every permit your business needs. We are not your lawyer, accountant, or compliance officer.
2. Your account
You're responsible for keeping your login credentials safe. If you suspect unauthorized access, contact us at hello@permitwatchdog.io immediately. You must be at least 18 to use the Service. One person or business per account.
3. Subscription & payment
Paid plans (Pro, Fleet) are billed monthly or yearly via Stripe. By subscribing you authorize Stripe and PermitWatchdog to charge your payment method on the billing interval you select until you cancel.
Cancellation: you can cancel anytime from your Billing page. The cancellation takes effect at the end of your current billing period — you keep access through that date. We don't issue prorated refunds for unused time after a cancel, except as required by law.
Refunds: if you're charged in error or experience an outage that materially impacts your use of the Service, email us within 14 days and we'll work it out case-by-case.
Plan changes (Pro↔Fleet) take effect immediately, with Stripe prorating the difference automatically.
4. Acceptable use
You may not: (a) reverse engineer or scrape the Service, (b) resell or sublicense access without written permission, (c) upload material that violates intellectual property or privacy rights, (d) use the Service to facilitate illegal activity, or (e) attempt to access data belonging to other accounts.
5. Your content
You retain ownership of permits, applications, photos, and other documents you upload. You grant us a limited license to store, transmit, and process them solely to provide the Service to you. We don't sell your data, ever. We don't train AI models on it.
6. Privacy
Our Privacy Policy describes what we collect, how we use it, and your rights. By using the Service you agree to that policy as well.
7. Service availability
We aim for high uptime but don't guarantee it. The Service is provided "as is" without warranties of any kind. We are not liable for damages caused by service interruptions, data loss (we maintain backups but accept no liability for restoring them), or third-party service failures (Stripe, Resend, Google).
8. Limitation of liability
To the fullest extent permitted by law, PermitWatchdog's total liability to you for any claim arising out of these Terms or the Service is limited to the greater of (a) the fees you paid in the 12 months preceding the claim, or (b) $100 USD. We are not liable for consequential, incidental, indirect, or punitive damages, including lost profits or fines from a missed permit renewal.
You are responsible for your own permit compliance. If you miss a renewal because we sent the reminder to spam, didn't send it, sent it on the wrong date, or the catalog data was wrong, our liability remains capped as described above.
9. Termination
You can delete your account anytime from Settings. We can suspend or terminate your account if you violate these Terms or engage in fraudulent payment activity. On termination your data is retained for 30 days then permanently deleted. If you'd like a copy of your data before deletion, email us.
10. Changes
We may update these Terms occasionally. Material changes will be announced via email at least 14 days before they take effect. Continued use after the effective date means you accept the changes.
11. Governing law
These Terms are governed by Texas law. Any disputes will be resolved in the state or federal courts located in Travis County, Texas.
